Welcome to MEETINGS 2021, a BEIA event Kia ora and welcome to our special MEETINGS 2021 Preview Magazine, with thanks to our partners at Meeting Newz. We all know how challenging the past 15 months have been for the industry. With MEETINGS postponing in 2020, the first time in its 25-year history, it clearly left a void. We are so fortunate in New Zealand to be able to hold this event in 2021, and to welcome buyers from across New Zealand and Australia. We saw it first at BE Reconnected in December, and we are really seeing it at MEETINGS. The demand to meet face to face and connect. This has resulted in a very strong response to our hosted buyer programme with 110 New Zealand and over 60 Australian Hosted Buyers and media this year. Our Day Buyer programme is open for any buyer who is keen to visit the show over the two days without appointments, and is again proving very popular this year. It is extraordinary to look back and reflect on how long we have been kept apart from our neighbours to the West. How much we have simply taken for granted our ability to fly to Australia or the Pacific Islands, or indeed the world. How much we now appreciate that privilege. BEIA is extremely grateful for the support of Air New Zealand, our principal sponsor. We truly value the relationship we have with Air New Zealand which has allowed our industry to survive domestically and is now bringing our Australian guests to our shores. There is something special about stepping on board an Air New Zealand plane when you are overseas, the entire New Zealand experience begins from the very first kia ora at check in to the mā te wā when you arrive. Lisa Hopkins - Chief Executive Business Events Industry Aotearoa This year, more than ever, the industry has proactively partnered and collaborated with BEIA to ensure that this MEETINGS will be delivered with and from the heart. From the moment you walk through the doors at the Welcome event to your first interaction on the floor, we hope everyone, buyers, guests and exhibitors will feel genuine warmth and manaakitanga, care and hospitality, at MEETINGS. Our partners are long-standing, and we are always grateful for the opportunity to work alongside ASB Showgrounds, our venue partner; EventsAIR, our technology partner; and Peek Exhibition who started working with BEIA on this event 25 years ago. Auckland once again plays host to MEETINGS and our thanks to the Auckland Convention Bureau, who are committed to ensuring the hosted buyer experience is amplified. MEETINGS is synonymous with generosity and hospitality. The many supporting sponsors and the host hotels epitomise this, and we at BEIA continue to be in awe of their commitment and enthusiasm to our manuhiri, our guests. We have been overwhelmed by the offers to ensure guests truly experience something special while they are here. Tourism New Zealand is a premier industry partner and they have been in lock step with us throughout the MEETINGS journey. Along with Air New Zealand, they are supporting not only our guests from across the Tasman to join us, but also our all-important media partners who help spread the word on New Zealand and our industry, internationally. Tourism New Zealand will also be hosting the Regional Destination Zone, ensuring buyers get a taste of New Zealand’s incredible and diverse regions. Once again, the regional presence at MEETINGS is strong and we are delighted to welcome the stunning Central Otago region and the awe-inspiring coastal Kaikōura region for the first time. I am so proud of BEIA team and want to acknowledge Jen Henshaw, Claire Steele, Sharon Auld, Ani Santos, Nicky Tilsley and Trish Kennedy. Like any event, MEETINGS brings with it, its fair share of highs and lows. Throughout it all, the team have been driven to ensure MEETINGS delivers more meaningful and productive business opportunities for all. Whether it’s introducing a customer to a great new service that will make their event even more memorable, or helping a member uncover a new piece of business. I believe they have delivered on that objective and more. We can’t wait to see you walk through the doors at the ASB Showgrounds and wish you all a highly successful event! NEW ZEALAND’S VIBRANT CAPITAL Wellington AGENDA TO THE ADD MORE

This approach uses technology to live stream interpretation audio to participants from interpreters located anywhere. Hybrid events use a combination of on-site and remote interpretation delivery. Whisper Systems are a low-cost option for small scale interpretation or roaming events. 2. Adding multiple languages can increase delegate attendance Interpretation equipment makes it possible for people who speak different languages to communicate at events. Organisers can open the conference to a wider audience, including those who may not be able to participate if their language is not offered. 3. Leave the logistics to the specialists When planning an event with interpretation, it is helpful to work with a company that specialises in event translation and interpretation services. By working with a specialist interpretation equipment provider such as Congress Rental New Zealand, you take care of all your language needs stress-free and efficiently. 4. Not all interpreter booths are the same quality Soundproof booths are full-size, fully enclosed booths. “What happens when the content of your conference is not well understood by all of your delegates?” asks Liam Ennis, managing director for Congress Rental New Zealand. “Using the right equipment and support to add interpretation can take your event to the next level.” With language being the foundation of all communication, Ennis advises against underestimating the power of adding interpretation to an event. “It can be the key to success for your delegates and their overall event experience.” Ennis has six simple steps for adding interpretation to multilingual events. 1. There are many technical solutions for adding interpretation Onsite interpretation is best for events that require high quality realtime communication between the interpreter and delegates and uses interpreters on-site in interpretation booths. Remote interpretation is a great option for off-site events. During the event planning process language barriers can often be overlooked, especially when considering business events with international delegates. ARE YOU READY FOR AWAVE OF INTERNATIONAL BUSINESS EVENTS? Ask for ISO:4043 rated interpreter booths when planning an event to ensure happy interpreters, and the best sound isolation. Tabletop booths have an open back for partial sound isolation. They allow interpreters to work in smaller spaces, and are a lower cost, but do not provide the same quality as soundproof booths. 5. Two heads are better than one especially when they are working together It’s great having high-quality equipment, but you also need highquality interpreters. Interpreters are typically paired by subject matter expertise and experience. This allows them to seamlessly take turns interpreting, without any break in the conversation. Don’t cut costs on your interpreters. 6. There are solutions for every event size and budget When planning an event, it’s important to factor in the cost of interpretation services. Even if your budget is tight, there are costeffective solutions available that provide excellent interpretation equipment and services.
